Policy on handling of personal information

Yamato Home Convenience Co., Ltd. (hereinafter referred to as "the Company") recognizes that it is its corporate social responsibility to appropriately handle and protect the information (hereinafter referred to as "personal information") with which one can identify specific individuals, such as the customer's full name, address, and mail address, and to achieve such appropriate handling shall conduct the following measures.

1. Observance of laws and ordinances

In dealing with personal information, the Company shall observe the related laws and ordinances and the internal rules concerning protection of personal information.

2. Purpose of use

The Company shall specify the purposes of use of personal information, handle it within the limits required for achievement of these purposes, and shall not handle it outside these limits. In addition, when the purpose of use of personal information is separately restricted by laws or ordinances, etc., the Company shall not handle the personal information except for the purposes of use specified. 3. Collection of personal information

When collecting the customers' personal information, the Company shall collect such information within the required limits having notified the customers of the purposes of use as well as the department in charge of handling beforehand.

4. Appropriate management of personal information

The Company shall ensure that the customers' personal information is kept up to date and take measures to prevent unauthorized access to personal information, loss, destruction, falsification, and leakage.

5. Restrictions on provision of personal information to third parties

Except for cases specified in laws or ordinances, the customers' personal information will not be disclosed or provided to any third party without the customers' consent.

6. Supervision of institutions entrusted with handling of personal information

If handling of customers' personal information is entrusted to a third party, the Company shall appropriately supervise such third party by conclusion of a non-disclosure contract and other measures so that the third party also conducts management of information safely.

7. Joint use

8. Demands for disclosure, etc. of personal information

Except for cases specified in laws or ordinances, such demands as for disclosure, correction, deletion, and termination of use of personal information will be accepted by the department in charge and swiftly satisfied within reasonable limits. Please click here for details.

9. Management system

In order to strengthen the measures with respect to protection of personal information across the board, the Company shall maintain the Information Security Committee, appoint a management representative in every section which handles personal information, and ensure continuous training and education of the employees regarding the issues related to management of personal information.

10. Continuous improvement

In accord with the development of information technology and the changes of social needs, etc., the Company shall improve the management system and the measures of protection of personal information according to circumstances, making sure that these efforts are continuous.

Purpose of use of personal information

The company shall handle customers' personal information within limits required for achievement of the purposes of use concerning the following business.

1. Business activities

  • (1) Freight transportation service business for the general consuming public and business enterprises centering on moving and delivery service of large household appliances/furniture and household articles
  • (2) Packing materials and business of selling products
  • (3) Other business incidental to the above

2. Purposes of use

  • (1) For acceptance of requests for products and services
  • (2) For provision of products and services
  • (3) For confirmation of the eligibility of the customer to use the products and services and the identity verification
  • (4) For market research and analysis of data required for research and development of new products and services
  • (5) For announcements of products and services of the Company and companies we are affiliated with for example by sending direct mail
  • (6) For other actions aiming at making the transactions with our customers appropriately and smoothly

Joint use of personal information in the Yamato Group

The Yamato Group strives to enhance the corporate value of the whole group by developing attractive services for the customers through organically combining the management resources of each of the companies comprising the Group.
For that purpose, we jointly use the customers' personal data within the limits stated below and only when needed. We shall always strive for more rigorous management and supervision of the personal information jointly used, and we ask all of you for your understanding and cooperation.
The management structure of common use may be revised when necessary in the future. In that case, we will notify you of the changes or make an official announcement beforehand.

Full name, address, telephone number, mail address, date of birth, sex, and other information regarding our customers

  • (1) For market research and analysis of data required for research and development of new products and services
  • (2) For announcements of products and services of the Company and companies we are affiliated with for example by sending direct mail
  • (3) When there is an inquiry, a request to use, and other requests regarding products and services offered by the companies comprising the Yamato Group, to convey such requests or hand them over to the company in question
  • (4) For other actions aiming at making the transactions with our customers appropriately and smoothly

Requests for disclosure, etc. of personal information and the required procedures

According to the Act on the Protection of Personal Information, Yamato Home Convenience Co., Ltd. accepts the procedures requesting disclosure, etc. of information upon request by the person himself/herself or by his or her representative as follows. The personal data held by the Company that can be the object for procedures requesting disclosure, etc. is listed below.

    • [2] Information for forwarding required due to change of residence
    • [3] Application forms for campaigns, etc., questionnaire results, the Company's membership registration, etc.

  • (2) Items applicable for procedures requesting disclosure, etc.

2. Procedures required to submit a request for disclosure, etc.

  • (1) Submission of required documents

      • (i) "Written claim for disclosure of personal information", or "Written claim for correction of information or termination of use of information"
      • (ii) A copy of one of the following documents has to be sent by fax together with the "Written claim for disclosure of personal information", or "Written claim for correction of information or termination of use of information"
        • a. Driver's license
        • b. Japanese passport
        • c. Health insurance policy + resident card, or health insurance policy + receipt/bill for public utility charge
        • d. Physically handicapped persons' card
        • e. Alien registration card
        • Note 1. When copying, please make sure that you copy the part of the document containing the customer's name.
        • Note 2. When the request is made by a legal representative, in addition to the documents proving the claimant's identity, please attach documents proving that you have the necessary qualification.

  • (2) Personal identification

    Based on the documents you have sent us, we will confirm your identity first. In some cases the person in charge may call you to verify whether you have submitted the request or not.

  • (3) In-house inquiry

    Based on the information stated in your request, we will conduct the necessary in-house inquiries. Please note that although we shall do our best, sometimes the search is difficult and some of the data may not be found.

  • (4) Report with the result

    We will send a report with the result of the inquiry within one month after your written claim arrives at our company. Please note that when there are deficiencies in the information filled in we may need more time than usual.

3. Fees

For claims for disclosure of personal information we charge 1,000 yen (before-tax price) as the inquiry fee. You will be charged on delivery of the report.
